Yes. Sugar Bear Coffee Co. is a mobile coffee and ice cream truck — specialty coffee, espresso, energy drinks and refreshers alongside ice cream, bakery and breakfast sandwiches, all from one truck. Packages are built around drink service, and guests can swap an ice cream option like a double scoop or affogato in place of a drink. Planning something ice cream focused? We’ll build the package around that instead. Most mobile coffee services can’t serve ice cream and most ice cream trucks can’t make espresso, so booking us means one vendor, one contract and one arrival instead of two.
For private events, our coffee truck packages start at $350 for 45 minutes of service with up to 30 guests, and run to $1,050 for 4 hours with up to 110 guests. A 1-hour package is $450, 2 hours is $650, and 3 hours is $850. Every package covers the truck, setup, service, travel, labor and cleanup, and all of our pricing is published on this page — you don’t need to request a quote to see what it costs. Prices are before applicable sales tax. Festivals and public events work differently — there’s no package, and guests order and pay at the window.
Every package includes our fully-equipped mobile setup, professional, expertly-trained baristas, handcrafted drinks from your chosen menu, and all cups and supplies. Each guest enjoys one item — a drink or an ice cream (not both). We handle setup, service and cleanup. Packages are priced by service time and guest count, and every one is fully customizable. Gratuity is never required — a tip jar is on the truck if guests would like to.
Absolutely. Birthday parties, school events and community days are often ice cream focused, and we’ll build a custom package around scoops, affogato, packaged treats and frozen drinks rather than coffee service. Just tell us that’s what you’re after when you request a quote.
Yes. Any drink on our menu can be made frozen — blended with ice to order — including lattes, our Signature Mocha, mocha, white mocha, chai, matcha and hot chocolate, plus Mango Peach and Strawberry Banana smoothies. They’re a favorite at kids’ parties and summer events, and several can be made without coffee. Looking for a Freeze? That’s something different: made with our Polar Powder for a thick, creamy, milkshake-style drink. Just ask at the window.
It depends which kind of event you’re booking. For private events — weddings, corporate events, parties, schools and churches — you book a package and cover everything up front, so your guests order at no cost to them. No cash, no cards, no tabs. For festivals and public events, we come out as a retail vendor and your guests buy their own drinks at the window, so there’s no package to buy and no charge to you to have us there. Festivals, block parties, farmers markets, fairs and sporting events work differently from a private booking — instead of a package, we come out as a retail vendor with our full menu and your guests buy their own drinks at the window. There’s no charge to you to have us there. We’re fully self-contained, so we don’t need a kitchen, water line or power hookup. Reach out with your date, location and expected attendance and we’ll see if we’re a good fit.
We arrive fully self-contained. Our truck is a 16-foot step van measuring roughly 24 feet long by 10 feet wide, and we need a firm, level space to park it plus 8 to 10 feet of clearance on the service side so guests can line up safely. We can run on venue power or our onboard generator, whichever suits your space, so no hookup is required. No water line or on-site kitchen needed either. The truck stands about 11 feet tall, so please flag any low clearances. Not sure your space works? Send us a photo and we’ll confirm.
We’re a fully self-contained coffee truck rather than a coffee cart. For most events that works in your favor — the truck is enclosed, so weather isn’t a factor, and we don’t need a venue kitchen or prep space. If you were picturing a coffee cart for an indoor space, give us a call and we’ll talk through placement.
Plenty. Energy drinks in Blue Raspberry and Strawberry, Strawberry Dragon Fruit refreshers, Mango Peach and Strawberry Banana smoothies, blended frozen drinks, hot chocolate, chai and matcha lattes, iced tea, and our full ice cream menu. We also serve decaf espresso. Oat milk is available on any drink, and every drink can be made hot, iced or frozen.

We’re based in Batavia, Ohio and proudly serve all of Greater Cincinnati and Northern Kentucky — including Hamilton, Clermont, Warren and Butler Counties in Ohio, and Campbell, Kenton and Boone Counties in Kentucky. We travel up to about 50 miles from Batavia; if your event is near the edge of that range, just ask and we’ll confirm.
There’s no travel fee within our service area — roughly 35 miles from Batavia, covering the I-275 loop, Clermont County and Northern Kentucky. For events up to 15 miles beyond that — out to about 50 miles from Batavia — we add a flat $50 travel fee. We don’t travel beyond 50 miles.
Yes — they’re some of our favorite events to serve. We regularly bring the truck to school and teacher appreciation days, church gatherings and youth events, block parties, HOA and neighborhood events, festivals, sports tournaments, graduation parties and birthdays. Being able to serve coffee for the adults and ice cream for the kids from the same truck makes us a natural fit for family and community events.

Yes. Sugar Bear Coffee Co. carries general liability insurance and holds current health department permits, with inspections passed in both Ohio and Kentucky. Our baristas are professionally trained through Crimson Cup Coffee & Tea. Many venues require a certificate of insurance naming them as additionally insured — just let us know when you book and we’ll send one over.
Our packages comfortably serve anywhere from 30 to 110 guests depending on service time, with one item per guest — a drink or an ice cream (not both). Planning something larger — or fewer guests over a longer stretch? We’ll build a custom package sized to your event.
Most events book 4 to 6 weeks ahead, and weddings often 3 to 6 months out. Popular dates — especially weekends and holidays — fill up quickly, so reach out as early as you can and we’ll lock in your date.
Request a quote using the form at the bottom of this page or call us at 513-600-1255. We’ll confirm your date, menu and package, then send an agreement. A 50% deposit reserves your date and is non-refundable — all cancellations forfeit the deposit and we don’t offer refunds. If something comes up, we’re glad to reschedule to another available date as long as you let us know at least 14 days before your booked date. The balance is due 7 days before your event.
We serve rain or shine. The truck is fully enclosed, so our baristas stay dry and your guests order right at the window — one advantage a coffee truck has over a cart under a tent. For severe weather that makes the event unsafe, we’ll work with you to reschedule to another available date at no extra charge.
